Barcodes and GS1: what your hangtag actually needs

Somewhere between deciding to put a QR code on your product and printing the first hangtag, someone will ask whether you need a barcode number first. The answer is no. It is worth understanding why, because the question comes back later from a buyer, and the answer changes shape depending on who is asking.

What a GTIN actually is

A GTIN is the number underneath a retail barcode, eight to fourteen digits depending on the format. It identifies a product variant so a till can ring it up and a warehouse can count it. Getting one means joining GS1, the organisation that issues company prefixes, which is a paid membership renewed annually. That number does one job: it says which variant this is. It carries nothing about materials, origin, care, or who made the piece. It is an identifier, not a record. Most Indonesian brands selling domestically, through their own channels, at markets, or through boutiques have never needed one, and nothing about a digital passport changes that.

What a QR on a hangtag actually needs

It needs a web address that will still work in ten years. That is the whole requirement, and it is harder than it sounds. A QR code is printed at one moment and read across the entire life of the garment. Whatever address is printed on that tag is fixed the second it goes to the printer. If the address moves, every tag already sewn in becomes a dead end, and the only fix is reprinting tags on stock that has already shipped. So the useful way to think about it is: the address is the permanent part, the content is the part that moves.

Three things make an address survive

It lives somewhere that does nothing else: a dedicated subdomain, not mixed in with marketing pages that get reorganised. It is short, because every character adds pattern to the QR, making the code denser, harder to scan on a small tag in bad light, and leaving less room for your own mark in the middle. And it stops being editable once it is printed, because an address you can still change is a broken printed QR waiting to happen. None of that requires a barcode number.

Why the question comes back anyway

It returns from a different direction, and this is the part worth knowing. Customs systems, retailer systems, recycling sorters and regulatory lookups do not scan hangtags. They query a standard address format built from a product number, because a machine needs a predictable pattern rather than a readable name. That standard format is what GS1 publishes. The way to serve both is to build your readable address in the same structure the standard uses, so the same system can also answer the machine's format when a machine asks for it. Your tag carries the short readable address. The machine path exists underneath, and nothing different is printed. This is a structural choice about how an address is built. It is not membership, and it is not certification. A platform can follow the structure without belonging to the organisation, and so can you.

If you already have GS1 numbers

Record them. They belong in your machine-readable output and in any export pack you send a buyer, because that is where the systems reading them live. They can sit quietly in the product details on the passport itself. Two cautions. A GTIN identifies a variant, while a passport usually describes a product: a shirt in five sizes carries five numbers against one passport, so the number is not the thing to build your address on. And never invent one. A made-up number will eventually collide with a real product somewhere, and by then it is printed on a tag.

If you do not

Nothing changes. You do not need a number to publish a passport, and a passport should not show an empty field where a number would go. A brand without GS1 membership is not an incomplete brand, and a platform that renders the absence has quietly put a paid credential back inside a page that was supposed to be free of them.

  • A barcode number identifies a variant for a till. It is not required for a product passport.
  • What a hangtag QR needs is a permanent, short, dedicated address, fixed at the moment of printing.
  • Machines query a standard address format, so a readable address built in that structure can serve both without printing anything different.
  • Following the structure is not membership and not certification.
  • If you have GTINs, record them. If you do not, nothing should appear in their place.
